Redesigning POS Workflows: Reducing Cognitive Load in Fast-Paced Bar Environments

Redesigning a Swedish student pub's POS system to reduce cognitive overload, eliminate order re-entry, and speed up peak-hour service through user-centered design.

Student Nations at Uppsala University operate high-volume bars, pubs, and "fika" afternoons staffed entirely by student volunteers. Cashiers act as bartenders, waiters, cleaners, and register operators all at once. So I and my 3 team mates formed cross functional team to redesign the POS system workflow.

The Problem

Cashiers working at Uppsala University student nation pubs were overwhelmed during peak hours. A Swedish-only interface, rigid entry sequencing (requiring manual order deletion if food was entered before drinks), and unreliable order-tracking methods caused significant stress and kitchen miscommunications.

The Solution

A redesigned, English-supported POS interface featuring a sequence-independent order flow, one-click special request/allergy toggles, direct location buttons, and a QR-code order-tracking system.

Key Impact

Met all targeted task-completion times (under 2 seconds to clear an order, max +10 seconds for modifications), eliminated reliance on Swedish memorization, and drastically reduced kitchen/bar communication breakdowns.
